FILE NAMING & STRUCTURE

We have come together and have decided that our file structure and naming convention needs a facelift. We need a stable base in which all files are accessible to everyone. This includes other teammates, teams, as well as freelancers. By having a unified system, we will be able to streamline the handoff process. As well as reduce the number of clicks and questions during the process.

NEW FOLDER STRUCTURE

By simplifying the folder structure we were able to reduce the number of clicks by 40%. Making it quicker to get to the briefs. Where the real action is. Also by making a standardized template for the folder structure, anyone can go in and help edit a file and/or be handed off to another person.

These new codes will make the finding of files much easier. As well as reduce the length of file names. We already use code names for certain clients, whose names are too long, for quicker messages. So we wanted to apply this logic as more of standard practice.


NAMING CONVENTION

Using the Breif Codes located either on the Asana tile, or generated in the team Creative Hub Sheet, as well as the client code; you can create a folder name for all your projects. The naming convention should look as follows:

BRIEFCODE_CLIENTCODE_MONTH_TITLE


PREPARE OR PACKAGE

This video explains proper packaging practices. Gone are the days where your assets are linked somewhere on your desktop or within Box making the new user see a screen full of rainbows. When sending the file over to someone else, those links don’t transfer over to the person who downloaded your brief folder. So it is now a requirement to have a linked folder within your brief with every asset.
